Do I need to have a referral to receive physical therapy treatment?

As of January 1, 2014, you are now able to receive physical therapy treatment without a physician's diagnosis or referral!

However, please note that while the state of California recognizes your ability to directly access physical therapy treatment, your insurance provider may not. Some insurance providers (including some PPO plans) require a prescription for physical therapy.

Please consult your insurance provider for further information or please call our Front Desk to assist you in verifying your benefits.

How do I get started?

When contacting our office you will always be greeted by our friendly and knowledgeable Front Desk. They will ask you a series of questions based on your initial inquiry.

Questions such as:

  • What is your reason for seeking care?
  • Who is your insurance provider?
  • Do you have a physician's referral or are you approaching us via Direct Access?
  • Have we seen you before?

These questions enable us to verify your insurance coverage with your provider so that we may proceed appropriately to enter your account and schedule your appointments.

How do I schedule an appointment?

To schedule an appointment for any of our services please call or visit our Front Desk for assistance. Our Front Desk may be reached at (925) 284-3840.

We recommend scheduling your subsequent visits several weeks in advance in order to book appointments on your preferred days and times. We usually schedule our patients with one primary therapist and provide a recommended alternate therapist in the event that your primary therapist is not available or a particular day or time is no longer conducive to your schedule.

We encourage consistency in your attendance as it can be a major key to your recovery!

What about my follow-up visit?

Please plan to be available for 45-60 minutes for all subsequent visits.

During your follow-up visits, you will be attended to by your physical therapist and our exceptionally educated and trained physical therapy aides.

Please note that frequency and duration of your visits is dependent upon your plan of care as desired by your physical therapist or as prescribed by your healthcare provider.

What can I expect at Bay Area Physical Therapy?

At Bay Area Physical Therapy, we are dedicated to providing the best overall service from the moment you schedule an appointment with our friendly Front Desk to completing physical therapy as one of our graduates! We strive to ensure that you receive the utmost individualized care.

We want to provide you with the essential information concerning our services, procedures and policies so that you may feel confident when choosing Bay Area Physical Therapy as your rehabilitation and wellness provider. Please contact us for further assistance.

What happens during my initial evaluation?

Your first visit with us will be an opportunity for your physical therapist to assess your specific needs as determined within a physical evaluation.

Please plan to be available for 60 minutes for your initial evaluation.

Your physical therapist will:

  • Perform an evaluation by reviewing your medical history, discussing your condition with you, carrying out tests and measures (such as Range of Motion and Strength testing) and then make clinical judgments based on the data gathered during this examination.
  • Develop an individualized treatment plan based on the evaluation and make adjustments as needed throughout your course of care.
  • Communicate with you on your condition, treatment plan, functional goals and progress.
  • Provide information and education to you, your family or caregivers (if present) about your treatment plan, prevention, and individualized home programs to maintain function achieved during physical therapy.
  • Work in partnership with your referring physician to maintain synergistic care.

What is your cancellation policy?

Our staffing is planned to accommodate scheduled visits. Compliant cancellations are made 24 hours prior to the scheduled appointment time. For example, if your appointment is scheduled Tuesday at 3pm, please call any time before 3pm on Monday to cancel or amend your appointment compliantly.

Please note that late cancellations and "no shows" for physical therapy visits may be subject to fee of $65.00.

Workers' Compensation patients cannot be charged for missed visits; however, we are required to report absences to your case manager which may affect your claim.

Workers' Compensation patients who arrive late or miss more than one appointment may be discharged or required to reschedule for same day appointments only.

What should I bring with me to my first appointment?

We ask that you please bring:

  • A referral form signed by your physician (if applicable).
  • Proof of your insurance, such as an insurance card.
  • Government-issued photo identification, such as driver's license or passport.
  • Completed paperwork (please see our Patient Forms section for further instruction).
  • A method of payment. We accept cash, check, as well as credit and debit cards.

Please note that all minors should be accompanied by a parent or guardian on their first visit.

What should I wear to my physical therapy visits?

We recommend that you arrive in comfortable clothing and shoes that allows for your full range of motion and accessibility for your therapist to work on the affected area.

How much is my deductible, copay or coinsurance?

We have contracted fee schedules with many insurance companies as listed in our Insurance section. Individual costs are based on individual benefit plans and the type and duration of care appropriate to your condition.

Benefits and coverage is determined during insurance verification and is explained to you at the time of your first visit.

If you have a deductible to be met, the Front Desk will collect a base amount (e.g. $75) at each visit until the balance is depleted. Please note that this may not be the full cost of the visit and we will notify you of any further patient responsibility.

Patients are responsible for copays and coinsurances at the time of service.

Patients are expected to know their individual benefits plans and discuss any discrepancies with our staff immediately.

What types of insurance do you accept?

Please visit our Insurance section to see a full listing of coverage plans we are contracted with to determine if your treatment is covered by your insurance, or call our Front Desk to verify.

Please note that this section may not be applicable to Direct Access patients, but please verify with your insurance provider first before pursuing physical therapy without a prescription.

What if I am no longer able to afford physical therapy?

If you are experiencing financial difficulties and are unable to afford the costs of your therapy services please speak with our management team prior to scheduling.

Our staff is committed to working with patients on a case-by-case basis to develop payment plans, to assist with a payment plan, or apply to Care Credit to help you get the services you need.

Where do I park?

Parking is available in the garage located under the building and there is street parking on O'Connor Drive (the next cross street after BAPT).

Elevator accessibility is available in the back of the parking garage by the stairwell.
